Administrative Assistant

Tornado Medical Systems is an early-stage medical imaging and spectroscopy company. Tornado Medical Systems is looking to add an Administrative Assistant to its Toronto team. In time, this position will move from an administrative support role to one that supports our Senior Executives.

Duties and responsibilities

  • Answer phone and screen calls
  • Greet guests and walk-ins
  • Calendar management
  • Coordinate travel arrangements & conference registrations
  • Manage mail and courier coordination including: collecting, sorting, and distributing
  • Order office supplies and business cards
  • Complete expense reports for management team
  • Maintain front lobby and kitchen area
  • Track and maintain vacation records
  • Work closely with our Executive Assistant to assist with work overflow and special projects

Required Experience

  • 3-5 years working in a receptionist /administrative role
  • Excellent communication skills (verbal, written & interpersonal)
  • Ability to handle multiple tasks while working in a fast paced environment
  • Excellent working knowledge of Microsoft Suite of Products (Word, Excel & PowerPoint)
  • Excellent attention to detail
  • Creative thinker, flexible to new ideas, highly motivated
  • Strong team player & self-motivated
